1. What size motor coaches does Bus4Hire offer for charter?

Our motor coaches can accommodate 55 to 57 passengers. Our ADA motor coaches can accommodate 50 passengers with one wheelchair and 44 passengers with two wheelchairs.

We also offer 24 and 32 passenger minibuses, 14 passenger Sprinter Vans and VIP car service.

2. How can I make a reservation with Bus4Hire?

You can submit a quote request on our website or contact our Charter Department at 703-813-3490 or email sales@bus4hire.com We will then send you a tentative reservation for your review. Please review the itinerary details for accuracy. Your charter services will be dispatched based on this confirmation.

3. What is the required deposit for charter reservations?

A : We require a 25% deposit to secure your motor coach reservation. Once you submit your deposit, we will send you a confirmed reservation.

B : You make a payment by mailing a check or money order to: Bus4Hire 4427 Old Ox Road, Suite C. Sterling VA 20166 or

C : returning the credit card authorization form attached to your charter order. Processing Charges of 3% of the billed amount will apply.

D : Consult our office if you need ACH or wire transfer information

4. What if I need to Cancel the Reservation or Change an existing reservation?
  1. All money will be gladly refunded in full when cancellation is made 14 days prior to departure (which is the same as the balance due date). Any cancellation within 14 days of your travel dates will result in forfeiture of any amounts paid by the customer
  2. You may make changes up to 24 hours prior to departure by submitting changes to our Dispatch office. Changes are based on availability and are not confirmed until you have signed a new confirmation with the changes in place. Any changes to your charter cost will be reflected in the new confirmation.
5. When is the balance due for charter reservations?

Any outstanding balance must be paid in full two weeks prior to departure of the trip.

6. Who pays for drivers lodging?

A: The client is responsible for the drivers lodging on all overnight charters, unless otherwise noted on your contract. On multiple coach charters, our drivers do not share rooms. Each driver has to be provided with their own room.

7. Is driver’s gratuity included in the charter rate?

A: We do include the suggested driver’s gratuity in our charters rates, unless otherwise noted on the charter contract. You may provide additional gratuities as warranted, directly with your driver.

8. How much does renting a bus cost?

The good news is that chartering a motor coach is one of the safest, most economical and greenest ways to tour. Charter Bus travel can be 50 times safer than a car and twice as safe as air travel. Not only are you reducing your carbon footprint by traveling as a group, you’re also saving money!

Your charter cost is based upon which vehicle you select as appropriate for your group size, your pickup location and destination and the time & distance of your trip.

9. Is smoking allowed on the bus. Is food & beverage allowed on the bus?

Smoking of any kind is prohibited on any of our vehicles.

Chartering groups who wish to bring food & beverages and/or alcoholic beverages onboard our buses… must adhere to our company policies (we reserve the right to deny admittance of alcohol for any traveling group, at our discretion) and must provide a $200 clean up deposit prior to trip departure. This deposit is refundable by our Wash Crews approval.

10. How much time is given for a one-way transfer?

A one way transfer is an hour of travel time, point to point, within the greater DC area. Additional stops or time, and we suggest an hourly charter

11. How much can the bus driver travel in one day?

The bus driver is restricted by DoT regulations to ten hours of drive time, including travel time to your pickup and fifteen hours of duty time.

12. How do I know if your company is a safe choice?

In order to operate as a Bus Company within/beyond the State of Maryland… a “Certificate of Authority” must be issued. This certificate cannot be issued without proof of liability insurance, currently a minimum of $5million in coverage. Also, all buses are subjected to and must pass an annual safety inspection, performed by the Department of Transportation.
